Can you change the service date on an encounter form?
Answer: You can change the service date for an encounter using the Modify function on the Encounter Summary window. For instance, you may need to do this if the encounter was activated on one date but the actual services were provided on another date.

Is there an audit trail available to view data modifications?
Answer: To help your practice achieve HIPAA compliance, PWS maintains an audit trail of functions that involve viewing or modifying patient data in two tables in the PWS database. The table called HIPPO_AUDIT_DAY logs activity for the current day. Once each day, the information in this table is cleared and appended to a table called HIPPO_AUDIT_ARCHIVE. It is a good idea to periodically export and clear the contents of the HIPPO_AUDIT_ARCHIVE table.

Does PWS provide a mechanism to print patient handouts for their reference?
Answer: The Clinical Reference software provides handouts that can be used to educate patients about a particular medical condition or procedure. For example, a topic describing a procedure may explain how to prepare for it, what will happen during and after it is performed, its benefits and risks, and when to call the doctor. A topic that describes a condition may explain how the condition occurs, how it is diagnosed and treated, how long the effects will last, and how to prevent it. The patient handout topics were written and reviewed by a panel of physicians and other healthcare professionals. Handouts are available in both English and Spanish.

How do you activate a patient found in a list of results?
Answer: You can activate a patient who is listed in a results list without starting an encounter in either of the following ways: (1) Single-click the patient name and then click Activate. (2) Double-click the patient name and then click No when the system prompts Start an encounter for this patient?

How do alerts operate within PWS?
Answer: The PWS Alerts function enables your organization to define rules that automatically prompt a provider to perform a particular action or procedure based on certain criteria. When a patient or encounter is activated, PWS runs the alert rules. If the patient satisfies the conditions in any of the rules, the Alerts window appears. This window contains one message for each alert rule that the patient satisfies. The text of the message is defined in the alert rule.
For instance, assume that an alert rule specifies administering a vaccine at five years of age. When you activate a patient who is five years of age or older, PWS runs the alert rules and checks the patient’s date of birth. If the patient is over five years of age, it checks the immunizations for the patient. If the specified immunization is not in the patient summary, PWS displays the alert message that was defined when the rule was created in the Alerts window. If a list of alert messages was previously associated with the patient, the new message list replaces it. You can manually run the alert rules at any time, either from the Alerts window or from the Patient Summary window.
